Corporate event production: what to plan for

The decisions below are inexpensive to make early and expensive to change late. Working through them before the quote is what makes the quote accurate.

Fix the running order before fixing the technical plan

Almost every technical decision — operator count, microphone plan, lighting states, content cues — follows from the running order. An approximate running order shared early is worth more than a perfect one shared late.

Do a site visit if the venue is new to you

Drawings do not show a low beam, a blocked load-in door or a column in the middle of the room. Where the venue is unfamiliar, a walkthrough before the plan is finalised saves far more time than it costs.

Protect rehearsal time in the schedule

Rehearsal is where content, cues, microphones and lighting are found to disagree with each other. It is also the first thing sacrificed when the build runs late, which is exactly why it should be scheduled as firmly as the programme itself.

Name a single decision-maker for the event day

Live events generate decisions that cannot wait for a committee. Agreeing in advance who calls changes on the day keeps the programme moving and gives the crew a clear line of instruction.
