The decisions below are inexpensive to make early and expensive to change late. Working through them before the quote is what makes the quote accurate.

Tell the team how presenters will move

A seated panel, a lectern speaker and a presenter who walks into the audience need three different microphone approaches. Knowing the format in advance is the single most useful piece of audio information you can share.

Rooms with hard surfaces need more planning, not more volume

Glass, marble and high ceilings create reflections that reduce clarity as level increases. Coverage design, speaker placement and level discipline solve this; turning the system up does not.

Check video audio before the event

Content with inconsistent audio levels is extremely common and very noticeable live. Supplying video files before the event lets levels be checked and matched during rehearsal.

Outdoors, plan for the space, not the crowd

Open ground offers no reflective surfaces to reinforce sound, so coverage depends entirely on speaker positioning and count. Audience spread and any wind direction should be part of the plan.
