Event Lighting Design & Operation

Event lighting designed alongside the LED screen, so presenters are lit properly for the room and the cameras without washing out the wall behind them.

Overview

Event Lighting across Pakistan

Lighting and LED screens compete for the same space. Light spilling onto the screen face reduces its contrast; a bright screen behind an under-lit presenter turns that presenter into a silhouette. Getting both right at once is a design decision, not something to fix on the night.

Kaya designs event lighting with the screen already in the plan. Key light for presenters and cameras is positioned to avoid spill onto the wall, screen brightness is balanced against room and stage levels, and lighting states are built to the running order.

The rig is then operated live, so the room can change between a plenary session, an award presentation and a networking segment without anyone having to improvise.

Where it is used

Typical applications

Every event asks something slightly different of the setup. These are the situations this service is most often specified for.

Conference stages

Even, camera-friendly key light for presenters with controlled spill onto the screen.

Award and gala nights

Cue-based states for presentations, walk-ups and performance segments.

Product launches

Feature lighting timed with the reveal and with screen content.

Exhibition stands

Stand and product lighting that lifts the build inside a flatly lit hall.

Outdoor events

Stage and area lighting where there is no ambient light to build from.

Venue and ambience lighting

Uplighting and colour washes that carry the brand palette into the room.

Scope of work

What is included

Quoted against your actual event rather than a fixed package. Scope can be reduced or extended depending on what you already have covered.

  • Lighting design based on the stage layout, screen position and running order
  • Key, fill and back light for presenters and cameras
  • Stage wash and feature lighting
  • Venue uplighting and ambience where required
  • Screen-aware positioning to control spill onto the LED wall
  • Rigging, power distribution and cable management
  • Focus and level setting during rehearsal
  • Live operation through the programme

Not sure what you need?

Send the date and venue and the team will work the rest out with you

Most enquiries start with a rough idea and a photograph of the room. That is enough to begin — the specification is built from there.

Planning considerations

Event lighting: what to plan for

The decisions below are inexpensive to make early and expensive to change late. Working through them before the quote is what makes the quote accurate.

Decide whether cameras are involved

Camera coverage changes lighting requirements significantly — levels have to be higher and more even than they need to be for the naked eye. Confirming camera presence early avoids a rig that looks fine in the room and poor on the recording.

Keep light off the screen face

The most common avoidable problem at screen-led events is stage wash spilling onto the LED wall, which flattens the picture. Fixture positions and beam angles are planned to keep the screen clean.

Build lighting states to the running order

Plenary, award presentation, video playback and networking each want a different room. Agreeing those states in advance means the operator is following a plan rather than reacting.

Confirm power and rigging with the venue

Lighting adds both electrical load and rigging weight. Where a screen and sound system are also drawing power, the total has to be planned rather than assumed.

Delivery

How Kaya delivers this service

The same five stages apply whether the scope is a single screen or a full production.

  1. 01

    Share the brief

Tell us the event type, expected audience, venue and what has to appear on screen. A rough idea is enough to start.

  2. 02

    Confirm date, venue and requirements

We check the date, review the venue or its drawings, and confirm access, power and load-in timings.

  3. 03

    Plan screen and production scope

We specify the SMD configuration and the stage, sound, lighting, rigging and setup that go with it, then quote against that scope.

  4. 04

    Install, test and operate

The crew installs and tests ahead of the programme, then runs the screen and technical systems live.

  5. 05

    Dismantle and close out

After the event we strike the setup, clear the site and hand the venue back in the condition it was received.

FAQ

Event Lighting — questions we are asked

If your question is not here, send it with your enquiry and you will get a straight answer.

Not if the rig is designed with the screen in mind. Fixture positions and beam angles are chosen to keep spill off the screen face while still lighting presenters properly — which is exactly why lighting and screen are planned together.
